Host operations
Use this checklist to manage a booking from the first request to the end of the visit.
Review a request
Check the playroom, date, time, number of guests, price, payment status, and any guest message. Compare the request with your calendar and house rules before making a decision.
Confirm or decline
- Confirm only when the period is available and you can meet the booking conditions.
- Decline when the period is blocked, the request does not fit your rules, or you cannot prepare the playroom.
- Keep the reason clear and communicate through the booking conversation.
The exact cancellation and refund result depends on the booking policy and payment method shown for that booking. Check the booking details before promising a refund.
Prepare the visit
Before check-in:
- Confirm that the playroom is clean, safe, and ready.
- Review access instructions or the generated access permission.
- Send the guest the arrival information they need.
- Make sure no calendar conflict was introduced by another channel.
After the visit
Record relevant issues promptly, update availability when the playroom is unavailable, and keep guest communication attached to the booking. Use the dashboard for trends, but use the booking and payment details for individual cases.
When something changes
- Guest requests a change: check availability and update the booking through the supported booking workflow; do not promise a change before it is saved.
- A booking is cancelled: check the resulting availability, refund status, and access permissions.
- A device or access code fails: use the manual fallback and revoke the affected permission when necessary.
- A payment is disputed: use the connected payment provider's dashboard and keep the booking record as context.
