Sync your calendar with iOS and Android
Every playroom has calendar export feeds in iCal (.ics) format. Subscribing to a
feed keeps your phone's calendar app updated automatically, so you can see bookings
without opening My Playrooms.
Find your export links
- Open Host area > Calendar and select the playroom.
- In the Calendar export card, you find three links:
- Private calendar — includes full booking details. Keep this link secret; only add it to your own calendar apps.
- Public calendar — shows busy/free blocks without guest details. Safe to share with a co-host or publish elsewhere.
- Cleaning calendar — only the information relevant for cleaning staff.
- Use the checkbox Include imported events if the feed should also contain events you imported from an external calendar.
- Use the copy button to copy the URL. Do not use the download button for a
subscription — a downloaded
.icsfile is a one-time snapshot and will not update itself.
iOS (iPhone and iPad) — Apple Calendar
- Open the Calendar app.
- Tap Calendars at the bottom, then Add Calendar > Add Subscription Calendar.
- Paste the copied URL and tap Subscribe.
- Choose how often it should refresh, then tap Add.
Alternatively, go to Settings > Calendar > Accounts > Add Account > Other > Add Subscribed Calendar and paste the same URL there.
Apple refreshes subscribed calendars on a schedule it controls (typically every few
hours), not instantly. This is expected behavior for any .ics subscription, not
specific to My Playrooms.
Android
The Google Calendar app does not support adding an .ics subscription URL directly
on the phone. Add it once from a desktop browser and it will sync to your Android
device automatically:
- On a computer, open calendar.google.com.
- Next to Other calendars, click + > From URL.
- Paste the copied URL and click Add calendar.
- The calendar appears in the Google Calendar app on your Android device once the account syncs.
Google also refreshes subscribed URL calendars on its own schedule, which can take
up to a day for the first sync. If you need faster or on-device subscription setup,
use an app that supports .ics subscriptions directly on Android, such as
aCalendar+ or Business Calendar 2 — both add the feed from Settings >
Add calendar/account > From URL without the desktop detour.
Recommended apps
| Platform | Best default | When to use something else |
|---|---|---|
| iOS | Apple Calendar (built in, free, refreshes automatically) | Fantastical, if you already use it for scheduling and want all calendars in one polished app |
| Android | Google Calendar (free, syncs to all your devices once added) | aCalendar+ or Business Calendar 2, if you want to add or refresh the subscription directly on the phone |
| Both platforms, same setup | Outlook | If you manage multiple playrooms or staff and want one app and account on iOS and Android with identical steps |
Good habits
- Treat the private export link like a password. The link uses the same token for every playroom in your host account, so anyone who has it can see full booking details for all of your playrooms, not just one.
- Subscribed calendars are refreshed on a schedule the calendar provider controls, not in real time. Do not rely on your phone's calendar alone to confirm whether a time slot is still free; check the host area before confirming a tight booking.
- If a private link may have leaked, remove the subscription from your devices and contact My Playrooms support — the token cannot be reset from the host area.
